Our IT Trainer explains the value of really understanding the capabilities of the technology in front of you.
"How many driving lessons did you have before you passed your driving test? The answer is immaterial; what really matters is that you had lessons; someone showed you how a car worked before you were let loose on the roads. So, if you required lessons to drive a car, then you’re going to need lessons to learn about the latest technology that, additionally, is regularly updated!
How can you be expected to get the maximum benefits out of the array of technology where you work if no one’s ever shown you what it’s truly capable of? Are you stuck on technology cruise control because that’s where you feel most comfortable?

People don’t understand the different options open to them until they’re shown. It’s human nature that they have neither the inclination, nor often the time, to learn all the capabilities, using only the basics to get the job done. Yet if you knew what that technology was capable of and put it into practice, it would release you and your team from lengthy, duplicated and time-consuming processes. We want to take people on their digital journeys to achieve this.
A report by the global management consultancy, McKinsey, a few years ago found that, on average, employees waste around 9.3 hours a week searching for and gathering information on their systems. Put another way, that’s five employees turning up to work but only four being productive. What business wants that? If you enable your employees with the right digital tools and know-how to think, act and work differently, they’ll all be productive at work.
People regularly ‘lose’ desktop icons. Do you know how many people then ring their IT service desk to say they can’t find these icons? Having worked on an IT service desk myself, I can tell you the percentage is surprisingly high. But did you also know you don’t even need icons on your desktop? Simply by pressing the Windows key on your keyboard and typing in the first few letters of the item you are searching for will bring it up.
People lack the confidence (and knowledge) to try and resolve issues themselves. They’re very quick to pick up the phone because they’re unsure where to look for something. Calling the service desk fixes these minor issues but the caller doesn’t know how it was fixed, so they repeat the mistake again in the future, call the service desk and so the cycle goes on.
The long-term answer to these issues is upskilling employees with the new and essential skills and new ways of working required in today’s digital world.
New digital technologies have the potential to change mindsets on how work should be done, putting the power of process decision making firmly with staff. That potential is unlocked through the right training. It is not the training of old which taught employees how to use a particular system within a rigid set of parameters. It is about opening employees’ minds to how the capabilities of these new technologies can create a massive cultural shift in thinking, working and acting differently.
The right digital training gives you the power to make different decisions. So if you knew sharing a photo or a screen shot of a document in a work WhatsApp group meant the photo was automatically saved on the devices of everyone in that group but that if you had shared that same document in a Microsoft Teams, it would have stayed securely in that group, which option would you have chosen? It’s important that training not only teaches you how to digitally do things but also makes you realise what best practices are. In this case, it was the security implications of using WhatsApp as opposed to Microsoft Teams.
I’ve trained a complete cross-section of people and everyone learns something new; not just from me but from others in discovering how they are using technology. The lightning speed with which updates on current apps and the introduction of new ones is happening means it’s impossible for everyone to know everything. With the dawning of a new IT world, there needs to be a new culture of how to do things. Learning how need not be overwhelming.
